The platformAI automation
AI for associations, working on your own member record.
Assistants and automations built into your member platform. They read the same record as your staff, follow the same permissions, and leave a trail staff can check. Nothing bolted on.
What members get
What AI does for your members.
- 01
Answers from your own pages
A member assistant that answers questions about membership, events and benefits from the association’s own pages and policies, links to where the answer came from, and hands over to staff when it does not know.
- 02
Search that understands the question
“A compliance partner in Rotterdam who speaks Dutch” works in the directory, not only a row of filters.
- 03
Forms that fill themselves in
Renewal and event registration start from what the record already knows, so members confirm instead of retyping.
What staff get
What AI does for your staff.
- 01
Ask the record in plain English
“Which Benelux members have not renewed and registered for Lisbon?” returns a list staff can act on, within what their role is allowed to see.
- 02
Renewal risk, flagged early
Members who stopped logging in, skipped the conference or left a request unanswered appear on a list weeks before their membership lapses.
- 03
Drafts, not blank pages
Newsletter items, renewal reminders and event announcements drafted in your association’s voice from what happened on the record. Staff edit and send.
- 04
Requests sorted and summarised
Incoming member emails and requests summarised and routed to the right person, with the member’s record one click away.
Guardrails
Built so the board can say yes.
Member data stays yours
It runs in accounts in the association’s name, with AI providers set up so member data is not used to train their models.
The same permissions as the people
An assistant sees only what the person asking it may see. The rule lives in the database, like every other permission in the platform.
A person approves what goes out
Drafts and bulk changes wait for a member of staff. Nothing is sent to members on its own unless you decide a step is safe to automate.
Answers you can check
Member-facing answers show the page they came from, and every automated action is logged with who approved it.
A switch for each feature
Every assistant and automation can be turned off on its own, without touching the rest of the platform.
Costs you can see
AI usage is shown each month and capped at a figure you set, so there is no surprise bill.

An AI checklist for association boards
Ten questions to ask before AI touches member data.
Where to start
The audit finds the work worth automating.
During the three-week audit we list the repetitive work your staff do: the exports, the chasing, the same questions every week. For each one we say whether AI could take it on safely, what it would cost to build and run, and what it would save.
Some of it will not be worth automating, and the blueprint says so.
Questions
What boards ask about AI.
No. The platform uses AI providers under business terms that exclude training on your data, set up in accounts in your association’s name, so you can see the terms and the settings for yourself.
The model is chosen for each job: a smaller, cheaper one to sort requests, a stronger one to draft or to answer members. Today that means models from providers such as Anthropic or OpenAI. Because the platform is yours, it can change provider without a rebuild.
It is billed by use and capped at a monthly figure you set. The blueprint estimates the monthly cost of each feature before anything is built, and the platform shows what was actually used every month.
Yes, and most associations should. Start with one thing, usually the member assistant or renewal risk, see what it saves, and decide the next step from there.
The AI described here works on the platform’s single member record, which is what makes it reliable. If you are not ready for a platform, the audit still maps where AI could help and what it would need.
Put AI on a record you own.
Start with a three-week audit: every tool mapped, a blueprint and a fixed quote. No sales deck.
