The platform audit
Three weeks. Every tool mapped. A fixed quote.
The audit is the front door to every MemberWright platform, and the smallest decision a board can make: a fixed fee for a blueprint and a price, priced roughly $5–15k.
Week by week
What happens inside the three weeks.
Nothing is built during the audit. The point is to replace a guess with a number and a plan.
- Week 1
Inventory
Every tool, plugin and subscription: cost, who logs in, what it connects to, what data lives in it. Then the workarounds: the spreadsheets, the exports, the re-typing, with the hours each takes. And a read of the data itself: records, duplicates, empty fields.
- Week 2
Interviews
Staff first: membership, events, the inbox, finance. What they do on a Monday and what they would stop doing if they could. Then members: a few who use the portal, a few who gave up, a chapter chair or two.
- Week 3
Blueprint
The platform in plain words: what members can do, what staff can do, the data model, what connects and what stays outside. A migration plan, a phased launch, a fixed quote for the build and a monthly figure for running it.
What the board receives
Five things, all yours to keep.
- 01
The inventory
Every tool, cost and workaround, with staff hours. Most boards see the real number for the first time.
- 02
A data health report
How many records, how clean, what a migration would take.
- 03
The blueprint
What the platform is, written so an executive director can present it to the board without us in the room.
- 04
A fixed quote and a monthly figure
For the build, and for running it. No estimate before the audit, because no honest one exists.
- 05
Five years, compared
What you pay today across subscriptions, integrator and staff hours, against building and running one platform. Sometimes it says stay put. We say so.
Is it for you
An honest fit, before any spend.
It is for you if
Members need to find each other. Chapters or regions want their own space. Renewals leak every year. The integrator's retainer has become permanent. The board has asked who owns the data.
It is probably not, yet, if
Membership is simple, one category, few events, no directory, and one person runs everything. A good rented system and a brochure website may be the right answer, and the audit would say so.
Whoever builds it
Everything the audit produces belongs to the association. Taking the blueprint to another team is allowed, and occasionally happens.
